The Organiser and Host/s of IVC 23 2025 (the “Event”) reserve the right to remove from the venue/Event at any time any attendee deemed to be causing, or potentially causing, a disturbance or exhibiting disruptive or inappropriate behaviour. Such removal does not constitute a right to refund of any fees paid. Please view the Code of Conduct which is detailed on a separate page which all attendees are expected to comply with
Registration cancellations will be accepted until Monday, June 16, 2025 at 6:00 PM
Cancellation Policy:
Cancellations must be notified in writing to the Congress Managers by emailing ivc23_info@vac.agency
Note: there will be a A$150.00 administration fee charged for refunds on duplicate registration payments.

Cancellation of Registration Fees:

Cancellations before Monday 16 June 2025 will incur a A$150.00 cancellation fee.

Cancellations from Tuesday 17 June 2025 to Tuesday 5 August 2025 will incur a 50% cancellation fee.

Cancellations on or after Wednesday 6 August 2025 will receive no refund.

Cancellation of Social Events

Payments are non-refundable as at Wednesday 6 August 2025.

Important Information for Students

We are able to offer support and prizes for students to IVC-23. Therefore if you are a student please register  as this will allow us to keep you up-to-date with the various support and prizes and allow us to consider you for them. In particular:  VSA/IUVSTA Student Awards and the Elsevier Student Awards (see IVC-23 Main Page for further information).

IVC-23 Volunteers


We are looking for a number of student helpers/roustabouts that will support us on such things as the Registration Desk as well as in
the parallel sessions, the Welcome event and Networking Dinner etc. This is an opportunity for you to meet many of the participants whilst minimising your expenses as well as participate in the meeting. We will  waiver your Registration Fees for such assistance. We are looking for approximately 10 students to perform this task.  During the Registration process you will be asked if you are a student whether you are interested to become an IVC23 Assistant. 



Important Registration Information

Please note that you can register without paying immediately. The system allows one to log back in to pay. Please therefore remember to give your email address (which is mandatory in any case) otherwise you will not be able to save your Registration information. 

For those already Registered and paid using the previous system your details will be transferred to our new system. We will send you a confirmation email given your Registration and payment details. 

For those that have been given a reduced or waivered Registration Fee (such as our student assistants) we will provide you with a coupon text that will reduce the fee appropriately. Please therefore wait for this coupon text to be sent to you before paying.

For students you will need to first register but do not initially pay because you will need a coupon from us that will allow a discount on the regular price. During the Registration process you will be asked whether you are a student and asked to give the   address details of your supervisor. At which point we will send you the discount coupon to use to obtain the student price.

You will notice that the cheapest Registration Rates are for VSA (Vacuum Society of Australia) Members. Non-members can become VSA members no matter where you are from! Membership is only $50AUD per year for normal members and $20AUD per year for student members. You will reduce Registration costs by $100 AUD and by $10AUD for the Networking Dinner. Good value if you decide to join. Click on the MEMBER SIGNUP Button at the top right hand corner to join the VSA.

For those that registered for site visits on the old system we are working to reschedule this event. 
Most likely we will reschedule on Tuesday 16th. Details will be updated on this page and those not registered will be able to do so on this page. We will send out a notification regarding any updates.

Please note that Student Registrations require a coupon that you will receive from us once we have confirmed that you are indeed a student. During the Registration process you will be asked to provide details of your Supervisor/Adviser. Upon receipt we will send you and your supervisor/Adviser a one use coupon that when applied to the registration payment will reduce your fees according to the table above. 


Important Accommodation Information

We have a list of hotels close to the Sydney Masonic Centre that provide between 10%-15% off normal prices. We will send you links allowing you to access these discounts once you register. By the end of April these links will become available. 



Main Meeting: Wednesday 17th - Friday 19th

The main part of the meeting will start on the Wednesday 17th at 8AM and will finish on Friday 19th at 5PM. Please plan to stay for the end of the meeting because ALL student prizes will be awarded at this point.



Soft Start: Monday 15 - Tuesday 16 


Soft start is on Monday 15th September and runs to Tuesday 16th September. There will be an Executive Council Meeting of IUVSTA (this meeting is for Councillors and the Executive of IUVSTA) held on the Tuesday. This meeting will have a separate Registration Page for those attending the meeting. There will be a dinner also held on Monday 15th given sufficient numbers. We will send out a call to those interested in such a Welcome mixer. 

  - Registration and information desk open at 8AM and will be open the entire day
  - Catering is provided for participants only on these days
  - Panel Discussions (Included in Registration)
  - Site-visits - requires a small fee and may occur on the Monday. To be advertised separately. There will be a dedicated page (including Registration Page) for site-visits 
  - Potential regular Presentations may be scheduled on these days dependant on numbers. We will provide the detailed programme in the coming few weeks. 
  - Short Courses require an additional fee that you will be able to pay later through a Short Course Registration Page. We advertise Short Courses soon. 






Wednesday 17 

  • Registration and information desk will open around 7AM. 
  • Welcome will be at 8AM
  • Plenaries, Keynote, Invited, and regular presentations
  • Poster Session
  • Exhibition - all day
  • Welcome Function (which is included in the Registration -  additional tickets to this event may be purchased by registrants for accompanying persons.
    • Welcome Function will run from 5-7PM

 


Thursday 18

  • Registration and information desk open around 9AM
  • Plenaries, Keynote, Invited, and regular presentations
  • Poster Session
  • Exhibition - all day
  • Networking Dinner - 4PM-7PM. A nominal fee is required to attend this dinner. 
  • ECM of the new Triennium -  (this will run for the Councillors and Executive of IUVSTA only and be held for a couple of hours during the afternoon)


Friday 19

  • Registration and information desk open around 9AM
  • Plenaries, Keynote, Invited, and regular presentations
  • Exhibition -until 3PM
  • Wrap-up and awards nominally between 3-5PM
